Minutes

April 26, 2005

Members Present:  Donald Gilligan, Deborah Benjamin, Gordon Gladstone, Joel Wolk, Greg Waugh, Bill Croteau, Rich Slater

Guests Present:  Sam Liao - Sharon School Committee, Bonne DeSousa - Kaestle Boos Associates, Dr. Jackson - Superintendent of Schools

The meeting opened at 6:35pm. 

Middle School - HVAC Bid: 

Ms. Desousa gave an overview of the bid results that were received for the Middle School HVAC.  Four bids were received from the firms that were pre-qualified for this project.  The firms that submitted bids were Fraser Engineer, Poirier & Springer, CAM HVAC and JF White.  Poirier & Springer submitted a letter requesting that they be allowed to withdraw from the bid process due to a mathematical error. 

Chairman Gladstone asked the representative from the School Department and Dr. Jackson their opinions regarding the bids that were received.  School Committee Member Liao stated that he supports Fraser Engineering with the Alternate # 1.  Dr. Jackson stated that she would like supports going with the option that is least disruptive to the education process. 

MOTION:          To allow Poirer & Springer to withdraw their bid due to a mathematical error.  (Gladstone/Benjamin - unanimous)

MOTION:          To allow the inclusion of the late arrival of documents due to a clerical error (Benjamin/Wolk - unanimous)

MOTION:          To accept the bid of Fraser Engineering for $ 2,583,417.00

(Benjamin/Wolk - unanimous)

To direct the architect to prepare the contract documents

MOTION:          To accept the job description for the project coordinator - as amended in discussion. (Benjamin/Wolk - unanimous)  This job will be advertised in the central register and advertised in the local papers. 

East Elementary School -

There was discussion regarding the completion of the Subcommittee meetings that were held on Wednesday morning - It was noted that the general contractor has stated that he had no other PCO's that needed to be addressed.

Cottage Street Presentation:  Chairman Wolk stated that will be addressing this issue at Town Meeting. 

Community Center Article - The SSBC needs to be support the amount that is requested at Town Meeting.  Rick Rice - Chairman of the Designer Selection Board was in attendance to discuss the renovation of the community center project. 

MOTION:          That the sums that are requested for design services in the amount of $ 947,176.00 for the community center project are sufficient to perform this function.  The building committee will support this motion at Town Meeting on May 2, 2005.  (Wolk/Benjamin - unanimous)

MOTION -         to go into executive session to discuss pending litigation with the East Elementary School Project.  The following members voted in the affirmative to go into executive session and will come out to continue the remainder of the meeting: Donald Gilligan, Deborah Benjamin, Gordon Gladstone, Joel Wolk, Greg Waugh, Bill Croteau, Rich Slater

The Committee reviewed the prices that were obtained for the bronze plaques for the Cottage and East Elementary School.

Trophies and Awards of Canton submitted the lowest price of $972.70 (Benjamin/Wolk - unanimous)

The meeting adjourned at 9:30pm.
